The meeting room at the library is available as a public service to individuals or organized groups in the Bonneville County Library District (BCLD) service area or that includes the library service area. Exceptions may be made if the director or BCLD board deems extenuating circumstances are involved.
There will be no charge for use of the meeting room, but donations are welcomed.
The room may be reserved no more than ninety days in advance. It is understood that library programming will have first priority in library and meeting room use. The second priority will be given to groups partnering with the library. The third priority will be for groups of public interest.
Attendance must be open to the public. Some restrictions, like age restrictions for minors or an attendance cap for space availability, may be allowed.
Refreshments may be served if okayed by the director or staff and shall be provided by the group.
No admission may be charged by the group. The purpose of the event should be for strengthening, educating, or benefitting our communities and not for commercial purposes.
If a product or service is described, patrons must seek out purchases. Pressure to purchase should never be used. Papers may be passed out, but sign up sheets may not be. Sign-up forms may be put in an accessible spot where adult patrons may choose to share contact information if desired. How an item or service may be purchased is permitted, but should be brief and not belabored or repetitive. It must also be disclosed in the advertisement of the event and discussed with the director before an appointment is made.
The fact that a group is permitted to meet at the Library does not in any way constitute an endorsement of the group’s policies or beliefs by the BCLD staff or Board and this must be stated at the beginning of every meeting or activity if not posted. No one may list BCLD or the Library Branch as a host, partner or sponsor without prior express written permission from the Library Director or designee. Absent such permission, any printed or electronic advertisement or notification of a meeting to take place at the Library shall include a disclaimer that the meeting or event is not sponsored or endorsed by BCLD or the library branch. The reservation may be canceled where a disclaimer is not included in the publicity and advertisement of the meeting. All news releases, publicity or advertisements relating to any program or meeting held in one of the library meeting rooms shall clearly state the name of the sponsor, and shall not imply in any manner that the program or meeting is sponsored by BCLD or the library branches, unless BCLD has formally agreed to co-sponsorship.
The people using the room shall leave it in neat, clean, orderly condition; if not, the group/individual will be given notice that could result in denied access to the meeting room and/or a cleaning fee. Individuals reserving library meeting rooms must include an adult and agree to be responsible for all damage to any property of Bonneville County Library District resulting directly or indirectly from the conduct of anyone attending a meeting for which they have made a reservation.
BCLD is not responsible for any equipment, supplies, materials, clothing, or other items brought to the Library by any group or individual attending a meeting. The Library Board and staff do not assume any liability for groups or individuals attending a meeting in the Library.
BCLD reserves the right to deny or revoke a reservation and permission to use a meeting room at any time if the particular usage is disruptive to the Library’s normal course of business, violates the Library’s Patron Code of Conduct policy or any other Library policy or regulation, or violates any local, state or federal law. All attendees must abide by Library behavior policies.
